Appointment Policies
Please review our service terms and preparation requirements before booking.
Appointments are scheduled in advance and are subject to availability. Your appointment is confirmed once the required booking information and applicable travel fee have been received. Please provide accurate contact information, the appointment location, service type, and any special instructions when booking.
A $75 concierge travel fee applies to standard mobile appointments within the 10-mile service radius and is separate from all notarial act and service fees. Additional travel or specialized location fees may apply and will be disclosed before appointment confirmation. The travel fee covers mobile travel and is not credited toward other services.
Please provide at least 24 hours’ notice to cancel or request a reschedule. Qualifying cancellations made within this timeframe are eligible for a refund of the travel fee or a one-time transfer to a new appointment date. Cancellations with less than 24 hours’ notice and client no-shows forfeit the travel fee. Once travel has commenced or the specialist has arrived, the travel fee is non-refundable.
Each signer must present valid, unexpired government-issued photo identification acceptable for the requested notarization. Signers must appear in person for traditional notarizations or satisfy the applicable identity-verification requirements for Remote Online Notarization. Signers must be willing and able to communicate directly with the notary and demonstrate awareness and willingness to sign. The notary may decline to proceed when legal or notarial requirements are not met.
Please have all documents complete and ready for signing, but do not sign documents requiring notarization until instructed by the notary. Clients are responsible for ensuring documents are properly prepared and for arranging any required witnesses. SWFL Signatures does not provide witnesses. Documents must be in a language the notary can competently notarize under applicable requirements.
Additional fees may apply for specialized facilities, private terminal appointments, extended appointment time, printing, scanning, copying, witnesses arranged independently by the client, or other requested services. Any applicable fees will be communicated before the appointment is confirmed. Parking, tolls, or location-specific charges may also apply where disclosed.

Payment Protocols & Invoicing
Seamless Payment & Settlement
Your travel retainer is secured online before your appointment. Any remaining balance for notarial services, statutory fees, or applicable specialty services may be settled at the conclusion of your appointment.
Secure Transactions & Digital Receipts
Electronic payments are processed through Stripe or Square using secure payment technology. Cash and business checks are also accepted for eligible onsite balances. Itemized digital receipts are provided electronically following payment.
Corporate Account Management
For established business clients with recurring service needs, streamlined invoicing options may be available for qualifying corporate accounts, including title agencies, real estate brokerages, lenders, and other professional organizations.
